Odoo for Petrol Pumps: A Complete Guide to Fuel Station Management

How to run a petrol pump or fuel station in Odoo: tanks, nozzles, shift readings, dip reconciliation, credit customers and reports in one system.

Why fuel stations lose money on paper

Most petrol pumps still close each shift with a register: meter readings, cash, card slips and credit notes written by hand. Small mistakes add up. A wrong opening reading, a missed credit slip or a tank that is never dipped can hide hundreds of litres every month.

What a fuel station needs from an ERP

  • Tanks with live stock and re-order levels for each fuel type
  • Pumps and nozzles with opening and closing readings per shift
  • Cash, card, wallet and credit collections per nozzle
  • Dip readings compared with book stock, so shortages show up the same day
  • Credit customers with vehicle numbers and monthly invoices
  • Stock and accounting posted automatically, without double entry

How it works in Odoo

With a fuel station module, each tank becomes a stock location and each nozzle has its own meter. The attendant enters closing readings at the end of the shift; Odoo calculates the litres sold, values them at the current rate and compares the result with the money collected. Short or excess amounts are recorded against the attendant, and the sales go straight into Odoo accounting.

Reports owners actually use

  • Daily sales by fuel type and by nozzle
  • Shift summary with short and excess per attendant
  • Dip reconciliation: book stock versus measured stock
  • Credit customer statements and ageing

Getting started

Start with one station: set up tanks, pumps and fuel rates, then run two or three shifts in parallel with your register. Once the numbers match, switch fully to Odoo and add more stations.
